More Evenings, Less Paperwork: How a Garden Service in Elsdorf Went Digital with Its Invoicing

Digital invoicing sounds like a lot of technology. For Haus & Gartenservice Clement in Elsdorf, it mainly means one thing: several more hours of free time every week.

How It All Began: With My Apple Trees

This case study doesn’t start at a computer, but in my garden. Over the years, my apple trees had developed quite a life of their own: lots of wood, very few apples.

I know my way around servers, networks and encryption. When it comes to the perfect pruning cut, though, I’m as lost as some of my clients are in front of a blinking router. And unlike with a computer, turning an apple tree off and on again sadly doesn’t help.

So I called in a professional: Haus & Gartenservice Clement, a house and garden service from Elsdorf. He brought the trees back into shape with plenty of experience and visible care. Soon they’ll finally bear apples again – and I now know why this kind of job is best left to an expert.

Afterwards we got talking about our jobs – and quickly landed on a topic that kept him busy almost every evening: invoices. Shortly after, we sat down together and took a look at his workflows.

The Starting Point: Paperwork After a Long Day

Anyone working in house and garden services has a physically demanding day behind them by evening. And then the desk is still waiting.

Listing the work done, writing invoices, sending them out and keeping track of who has already paid. Every invoice takes time – time that’s missing at the end of the day: for rest and for family.

Until now, his invoices were created in a Word file, while customer data lived in a separate Excel list – just like at many self-employed people and trade businesses. For every invoice, he had to copy the customer’s name and address over by hand. That takes time and invites mistakes: a transposed digit happens quickly.

On top of that comes Germany’s e-invoicing mandate. For jobs from companies or property management firms, a PDF invoice will soon no longer be enough. I’ve explained what this means in detail here.

The Solution: Digital Invoicing with Dedicated, Fully Managed Software

Instead of handing him yet another piece of software to figure out on his own, I set up his own invoicing platform. It’s based on Invoice Ninja and runs as a dedicated instance for his business.

Specifically, I:

  • installed the software and configured it for his business
  • created an invoice design that matches his company
  • introduced e-invoicing, so invoices to business customers go out in the required format

His customers now receive their invoices directly by email. If they like, they can also get their own customer portal: there they’ll find all their invoices at a glance, plus documents such as maintenance and care contracts. This is especially handy for property management firms and commercial clients who are looked after on a regular basis.

Of course, everything is fully GDPR-compliant. Because I look after his customers’ invoice data on the technical side, we have signed a data processing agreement (DPA, known in Germany as AVV). It sets out in binding terms what the data may be processed for and how it is protected.

What mattered to me: he doesn’t have to worry about technology, updates or formats. He writes his invoice, and the system takes care of the rest. And if questions come up, he has one fixed point of contact.

The Result: More Time Off, More Time for Family

Customer data is now stored in the system once. An invoice is created and sent in just a few clicks – no retyping and no switching back and forth between Word and Excel.

The result: several hours saved – every single week.

In the end, what counts for my client isn’t the software, but what it gives back: time. After a physically demanding working day, more of the evening is left – for rest and for his family. And the e-invoicing mandate was taken care of before it could turn into stress.

In his Google review, he puts it like this:

“… how to make your everyday work genuinely simpler, more efficient and less complicated.”

– Marvin Clement, Haus & Gartenservice Clement, Elsdorf (translated from German)

Sound Familiar?

This case is typical for many small businesses, especially in the trades and services. Ask yourself:

  • Do you write invoices in the evening or on weekends?
  • Do you know off the top of your head which invoices are still unpaid?
  • Do you work for companies or property managers who will soon require e-invoices?
  • Does paperwork eat up time you’d rather spend on something else?

If you answer yes twice, it’s worth taking a closer look at your workflows.

Conclusion: Good IT Shows in Your Evenings Off

Digitalization doesn’t have to be complicated. Often it’s enough to improve a single process that costs time every day. My goal isn’t to sell you as much technology as possible, but to find what genuinely makes your everyday work easier.

And sometimes it starts quite unexpectedly – with an apple tree, for example.
